We are currently seeking a highly organized, customer-focused, and detail-oriented Customer Service Representative – Repair Operations & Logistics Coordinator to join our growing team. Position Overview

As a Customer Service Representative at arenaflex, you will serve as the central point of contact for customers, repair technicians, manufacturing teams, and logistics personnel. Your primary mission will be to coordinate the timely return of customer property—whether for paid repair services or warranty processing—while ensuring every interaction reflects arenaflex’s commitment to quality, responsiveness, and customer delight. Working under the general guidance of a supervisor, you will apply sound judgment, established best practices, and proactive problem-solving to drive continuous improvement and elevate service levels across the organization.

Key Responsibilities

  • End-to-End Repair Coordination: Manage the full repair lifecycle from initial customer or channel request through final delivery, ensuring every step is executed accurately and on schedule for the Bartlesville facility and potentially the Warminster, PA location.
  • Information Management & Data Entry: Request, gather, and enter all required information per documented process guidelines to initiate and execute repair orders, maintaining data integrity throughout the workflow.
  • Priority Management with Technicians: Collaborate with repair technicians to manage and adjust repair priorities as needed, aligning workloads with established schedules, customer commitments, and key performance indicators (KPIs).
  • Problem Resolution Leadership: Lead resolution efforts for complex challenges including capacity constraints, material shortages, escalated customer issues, and urgent repair turnaround requests.
  • Order Completion & Invoicing: Accurately complete Service Orders, Sales Orders, and Service Notifications in accordance with process standards, verifying that all invoices are correct and dispatched to customers in a timely manner.
  • KPI Alignment & Reporting: Support activities that drive success across critical KPIs including delivery performance, revenue capture, safety, quality, and operational integrity. Run reports, review detailed datasets, and recommend process changes that lead to measurable improvements.
  • Continuous Improvement Participation: Actively participate in or lead improvement initiatives and projects designed to meet or exceed service goals, enhance efficiency, and elevate the customer experience.
  • Cross-Functional Support: Provide flexible support to other roles, teams, or tasks as requested by management, contributing to a collaborative and agile working environment.

Essential Qualifications

  • Education: Bachelor’s degree from an accredited institution.
  • Experience: A minimum of 2 to 5 years of relevant professional experience in customer service, operations, repair coordination, or a related field.
  • Alternative Qualifications: A special combination of education and experience and/or demonstrated accomplishments in a comparable role will also be considered in lieu of a bachelor’s degree.
  • Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally with customers, technicians, and cross-functional teams.
  • Organizational Ability: Strong organizational and time-management skills with the capacity to handle multiple priorities simultaneously in a fast-paced environment.
  • Technical Proficiency: Comfortable working with data entry systems, reporting tools, and standard office software; ability to analyze datasets and identify trends.
  • Problem-Solving Mindset: Demonstrated ability to exercise judgment, apply established practices, and pursue creative solutions to complex challenges.

Preferred Qualifications

  • Prior experience in a manufacturing, repair, warranty, or logistics environment.
  • Familiarity with service order management systems, ERP platforms, or CRM tools.
  • Experience coordinating with remote or multi-site teams.
  • Working knowledge of KPI tracking and continuous improvement methodologies (Lean, Six Sigma, or similar).
  • Exposure to customer complaint investigation and equitable resolution processes.
