The Virtual Customer Care Representative is the frontline guardian of the warranty experience for homeowners in assigned communities. You will be the trusted liaison between homeowners, trade partners, and arenaflex’s internal teams, ensuring that every warranty claim is resolved quickly, accurately, and with the highest level of courtesy. Role Overview
Reporting to the Community Warranty Manager, you will manage the end‑to‑end warranty process for a portfolio of homes, from the moment a homeowner reports an issue through the final sign‑off of the repair. You will also cultivate strong relationships with trade partners, oversee invoice approvals, and act as the community expert on local amenities, HOA regulations, and neighborhood features.
Key Responsibilities
- Customer Relationship Management: Promote, facilitate, and nurture positive working relationships with arenaflex homeowners and trade partners, ensuring every interaction reflects our brand promise of exceptional service.
- Issue Resolution & Coordination: Receive warranty requests, assess the scope of work, assign tasks to qualified trade partners, and monitor progress to guarantee timely completion.
- Invoice Authorization: Review and approve trade partner invoices up to $1,250 after confirming satisfactory completion of work, maintaining strict adherence to budgetary guidelines.
- Proactive Problem Solving: Anticipate and remediate scheduling conflicts, communication gaps, or payment issues that could delay warranty repairs.
- Technical Knowledge Application: Interpret manufacturer recommendations, product specifications, and construction drawings to ensure repairs meet industry standards.
- Pre‑Closing & Post‑Close Activities: Conduct pre‑closing meetings, home demonstrations, celebratory events, and 30‑day post‑close visits to reinforce homeowner confidence.
- Community Oversight: Serve as the subject‑matter expert for your assigned community, providing insights on HOA fees, local schools, dining, shopping, and recreational amenities.
- Site Supervision: Oversee the condition of common areas, entry features, roadways, ponds, model centers, and signage, ensuring they remain in pristine condition.
- Collaboration & Communication: Facilitate field meetings with trade partners, construction crews, and sales teams to align expectations and share updates.
- Documentation & Reporting: Maintain accurate records of warranty activities, generate status reports for management, and ensure compliance with arenaflex’s documentation standards.
Essential Qualifications
- High School Diploma or equivalent (required). A Bachelor’s degree in Construction Management, Business Administration, or a related field is preferred.
- Minimum of 3 years’ experience directing, coordinating, and supervising work in a customer‑facing role, preferably within residential construction or homebuilding.
- Valid driver’s license with a clean driving record and personal auto insurance coverage.
- Advanced knowledge of scheduling, budgeting, and document management tools.
- Ability to read and interpret blueprints, construction plans, and technical specifications.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with warranty management software.
- Exceptional verbal and written communication skills, with a strong emphasis on follow‑up and time management.
Preferred Qualifications & Additional Skills
