About the Role
As a Hospitality Customer Service & Short-Term Rental Coordinator at arenaflex, you will serve as the primary point of contact for guests throughout their booking journey and on-site experience. You will manage communications across four major booking platforms, coordinate with housekeeping and maintenance teams, and ensure that every guest interaction reflects the high standards arenaflex is known for.
The role requires approximately 3-5 hours of active work per shift, with calls handled between 9:00 AM and 9:00 PM Pacific Standard Time (PST), plus an additional 1-2 hours of computer-based administrative work at 8:00 PM PST. Key Responsibilities
- Call and Text Management: Remain logged into the Google Voice application from 9:00 AM to 9:00 PM on each scheduled shift day (Wednesday, Thursday, and Saturday). Answer all incoming calls and text messages promptly, handling an average of 10-20 calls per day. Return any missed calls within 15 minutes or less, maintaining a missed call rate below 10-15% of total daily volume.
- Guest Communication Excellence: Provide accurate, friendly, and informative answers to guest inquiries in accordance with detailed property information provided by arenaflex. Serve as a knowledgeable resource for guests regarding their bookings, amenities, local attractions, and check-in procedures.
- Housekeeping and Maintenance Coordination: Based on real-time guest feedback, promptly log cleaning tasks and maintenance requirements into the property's notes system. Communicate time-sensitive issues to the appropriate team members to ensure rapid resolution and exceptional guest satisfaction.
- Urgent Issue Escalation: Immediately notify the employer of any urgent situations, including same-day or next-day cancellations, reservation date changes, guest lockouts, maintenance emergencies, or any other time-sensitive matters requiring management attention.
- Group Chat Participation: Actively participate in the arenaflex group chat on scheduled work days (notifications can remain silenced). Coordinate early check-in requests based on unit availability as communicated through the group chat, working collaboratively with the broader team.
- Multi-Platform Message Management: On scheduled work days, check and respond to Airbnb messages twice daily — at approximately 12:00 PM and again between 6:00-7:00 PM. Monitor and respond to messages across all booking channels (VRBO, Booking.com, Expedia) and complete daily computer-based administrative work between 6:00-7:00 PM.
- Review Management: Read and respond to Airbnb and VRBO guest reviews on a weekly basis, ensuring timely, professional, and brand-aligned responses. Carefully log all negative comments for internal review and continuous improvement purposes.
- Housekeeping Schedule Coordination: Review the daily emailed housekeeping report and assign shifts accordingly, ensuring optimal coverage and operational efficiency.
- Daily Reporting: Send a comprehensive end-of-day email to the employer on each scheduled work day, documenting any issues that required management authorization or assistance. If no such issues arise, send a brief "nothing to report" email to maintain consistent communication.
Essential Qualifications and Experience
To succeed in this role at arenaflex, candidates must meet the following mandatory requirements:
- Verified Host Experience: Demonstrated, hands-on experience working as a HOST (not a guest) on all four major short-term rental platforms: Airbnb, VRBO, Booking.com, and Expedia. Candidates without comprehensive host-side experience across all four platforms will not be considered for this position.
- beds24 Platform Proficiency: Working knowledge of the beds24 property management software, including navigation, reservation management, and operational features. Please be prepared to describe the duration and nature of your beds24 experience during the application process.
- Hospitality Customer Service Background: Proven experience in hospitality customer service, with a strong understanding of guest relations, conflict resolution, and the unique demands of short-term rental operations. Please detail your years of experience and the types of properties or establishments you've served.
- Pacific Standard Time Zone Availability: Must be available and operational during PST business hours, specifically between 9:00 AM and 9:00 PM on scheduled work days.

Compensation and Training
At arenaflex, we believe in fair, transparent compensation that reflects the seasonal nature of the hospitality industry.
- Compensation Structure: Earn $1,250.00 per month from October through March, and $1,350.00 per month from April through September. The summer rate increase reflects the higher workload and increased guest volume during peak travel season.
- Training Period: All new hires will complete a structured training program consisting of three days per week, 1-2 hours per day, conducted at approximately 8:00-9:00 PM PST. Training is compensated at $16.00 per hour. Upon successful completion of training, employees transition to the full compensation structure outlined above.
