About the Position

We're seeking an experienced and highly motivated Remote Customer Service Representative & Dispatch Specialist to join our growing Residential Department. In this critical front-line role, you'll serve as the welcoming voice of arenaflex, the first point of contact for customers seeking comfort solutions for their homes and businesses. You'll handle a dynamic mix of inbound and outbound communications, managing everything from initial service inquiries and scheduling to dispatch coordination and customer database management. Key Responsibilities

Your role at arenaflex encompasses a comprehensive set of responsibilities designed to ensure seamless customer service and efficient dispatch operations:

  • Inbound Call Management: Professionally answer and respond to a high volume of inbound customer phone calls daily, demonstrating exceptional phone etiquette, active listening skills, and the ability to quickly assess customer needs. Whether it's a routine maintenance request, an urgent repair situation, or a general inquiry about our services, you'll provide accurate information, empathetic support, and appropriate solutions.
  • Service Scheduling & Coordination: Efficiently schedule residential HVAC and plumbing services, maintenance appointments, and emergency calls using our customer relationship management system (Service Titan). You'll match customer availability with technician schedules, optimize routing to minimize travel time, and communicate appointment details clearly to both customers and dispatch team members.
  • Technician Routing & Dispatch: Coordinate with our field service technicians to route them appropriately based on geographical locations, service urgency, and technician expertise. You'll make real-time decisions to adjust schedules when urgent needs arise, communicate job details clearly to technicians, and ensure they have all necessary information before arriving at customer sites.
  • Customer Database Management: Meticulously maintain and update our customer database, ensuring all contact information, service history, preferences, and notes are accurate and current. You'll enter new customer profiles, update existing records, and use the database to personalize future interactions and follow-up communications.
  • Outbound Communication: Make daily outbound calls to confirm scheduled appointments, follow up on completed services, collect feedback, and proactively reach out to customers regarding routine maintenance reminders, seasonal promotions, and service opportunities. These calls are essential for building long-term customer relationships and maximizing customer satisfaction.
  • Team Collaboration: Maintain a positive, supportive team atmosphere with all members of the dispatch and customer service team. You'll share information, cover for team members during breaks or absences, participate in team meetings to improve processes, and contribute to a culture of mutual support and continuous improvement.
  • Problem Resolution: Handle customer concerns, complaints, or escalated issues with professionalism and empathy, working to resolve concerns promptly or escalate them appropriately to management. You'll identify patterns in customer feedback and suggest improvements to our service processes.
  • Administrative Support: Assist with various administrative tasks as needed, including generating reports, processing paperwork, managing email communications, and supporting other departments with customer information and service scheduling needs.

Work Schedule & Arrangement

This position offers a flexible hybrid work model designed to balance the convenience of remote work with the benefits of in-person collaboration:

  • Wednesday: Work in-person at our Chantilly office from 8:00 AM to 5:00 PM, with a one-hour lunch break. This day provides valuable face-to-face time with your dispatch team, supervisors, and field technicians, fostering strong relationships and enabling seamless collaboration.
  • Monday, Tuesday, Thursday, Friday: Work remotely from your home office from 8:00 AM to 5:00 PM, with a one-hour lunch break. This flexibility allows you to maintain a comfortable work-life balance while still maintaining a consistent schedule and availability for our customers.
  • Weekend Availability: While standard business hours are Monday through Friday, occasional flexibility may be required during peak seasons or emergency situations to support our customers and team.

Essential Qualifications

To succeed in this role, you should possess the following qualifications and attributes:

  • Call Center Experience: A minimum of one year of previous experience in a call center, customer service, or similar high-volume communication environment. This background will have prepared you for the fast-paced nature of our dispatch operations and the importance of maintaining composure during busy periods.
  • Typing Proficiency: Ability to type approximately 70 words per minute with high accuracy. This skill is essential for efficiently documenting customer information, updating databases, and managing multiple communications simultaneously.
  • High Call Volume Management: Demonstrated ability to handle a high volume of calls without compromising service quality, attention to detail, or customer satisfaction. You'll need to multitask effectively, switching seamlessly between calls, data entry, and dispatch coordination.
  • Independent & Collaborative Work Style: Ability to work independently while also functioning effectively as part of a larger dispatch team. You should be self-motivated and capable of managing your workload, while also recognizing when collaboration with colleagues will improve outcomes.
  • Geographical Knowledge: Familiarity with main cities, towns, neighborhoods, and locations throughout Northern Virginia. Understanding the regional geography is crucial for efficiently routing technicians and providing accurate information to customers about service areas and travel times.
  • Database Management Skills: Ability to accurately and efficiently document detailed information into our customer database (Service Titan). You'll be responsible for maintaining precise records of customer interactions, service history, and scheduling details, which directly impact our ability to provide exceptional ongoing service.
  • Communication Excellence: Outstanding verbal and written communication skills, with the ability to convey information clearly, concisely, and professionally to customers, colleagues, and technicians. You should have excellent phone presence, the ability to adapt your communication style to different situations, and strong active listening skills.
