Position Overview
This is not a routine data entry role. The successful candidate will serve as the critical gatekeeper for data integrity, reviewing source documents—such as blueprints, permit applications, and engineering plans—before they are entered into our custom database systems. You will be expected to apply strong analytical and critical‑thinking skills to identify discrepancies, flag potential errors, and proactively seek clarification when data appears inconsistent. The role is a five‑month contract with the possibility of extension, based on performance and project needs.
Key Responsibilities
- Data Validation & Accuracy: Thoroughly examine source documents, compare them against existing records, and confirm that every data point is correct before entry.
- Error Detection & Reporting: Locate and correct data entry errors, or promptly report them to supervisors for resolution.
- Document Processing: Read and interpret plans, applications, and paper files; enter data using keyboards, scanners, or custom data‑capture tools.
- Database Management: Run queries in Microsoft Access, import data from web sources, and maintain organized logs of all activities.
- File Organization: Store completed documents in designated physical or digital locations, ensuring easy retrieval for future reference.
- Vendor Coordination: Communicate with external vendors to schedule pick‑up and drop‑off of physical documents, ensuring timely flow of information.

Essential Qualifications
- Minimum 3 years of professional experience reviewing diverse data sources for accuracy and completing data entry after validation.
- At least 3 years of experience compiling, coding, categorizing, calculating, auditing, or verifying information in a structured environment.
- Demonstrated ability to work with Microsoft Office Suite (Word, Excel, Outlook) for at least 3 years.
- Proficiency in navigating web browsers (Microsoft Edge, Google Chrome, Firefox) for a minimum of 3 years.
- Experience running queries and searches in Microsoft Access for at least 2 years.
- Strong written communication skills with a track record of effectively conveying information to supervisors, co‑workers, and external vendors for at least 3 years.
