Role Overview – Remote Travel Event Coordination Specialist

As a Remote Travel Event Coordination Specialist at arenaflex, you will be the linchpin that connects clients, vendors, and internal teams to bring travel‑related events to life. Your day‑to‑day responsibilities will span the entire event lifecycle—from initial concept development and budget creation to on‑site logistics and post‑event analysis. You will act as both a trusted advisor to clients and a proactive project manager, ensuring every detail aligns with the client’s vision, budget, and timeline.

This position is fully remote, offering you the freedom to work from anywhere within the United States, Mexico, or Australia while collaborating with a diverse, global team of travel experts, designers, and technology innovators.

Key Responsibilities

  • Event Planning & Design: Conceptualize, design, and structure travel‑focused events such as conferences, incentive trips, corporate meetings, and destination weddings, tailoring each experience to client objectives, preferences, and budget constraints.
  • Venue & Accommodation Research: Conduct thorough market research to identify and recommend venues, hotels, resorts, and unique locations that match the event’s purpose, size, and aesthetic.
  • Logistics Management: Oversee transportation coordination, catering arrangements, audio‑visual requirements, on‑site staffing, and guest accommodations, ensuring all logistical components are synchronized and delivered on time.
  • Budget Development & Control: Create detailed event budgets, monitor expenditures, negotiate cost‑effective contracts, and provide regular financial updates to clients and internal stakeholders.
  • Vendor Collaboration: Build and maintain strong relationships with external vendors—including caterers, decorators, entertainment providers, and transportation partners—to secure high‑quality services and favorable terms.
  • Client Communication: Serve as the primary point of contact for clients, delivering regular progress reports, addressing concerns promptly, and adjusting plans based on evolving needs.
  • Marketing & Promotion: Develop targeted marketing strategies, promotional materials, and outreach campaigns to attract participants and maximize event attendance.
