About the Role

We are seeking enthusiastic, detail‑oriented individuals to join our remote workforce as Customer Service Representatives – Specialty Healthcare Benefits Verification Specialists. In this role, you will be the critical link between patients, healthcare providers, and insurance carriers, ensuring that life‑saving specialty medications for rare and complex conditions (such as oncology, fertility, and autoimmune disorders) are verified, processed, and delivered on schedule. No prior healthcare or insurance experience is required—just a passion for helping others, a willingness to learn, and a commitment to excellence.

Key Responsibilities

  • Utilize multiple benefits verification platforms and electronic health record (EHR) systems to locate patient benefits, submit claims, and adjudicate coverage decisions.
  • Conduct outbound outreach to physicians’ offices, insurance representatives, and patients to coordinate the timely filling and shipping of specialty medications.
  • Maintain a balanced workflow: approximately 80 % back‑office case management and 20 % inbound/outbound call handling, with flexibility to shift as business needs evolve.
  • Gather and verify patient and order information with empathy, building rapport while discussing therapy changes and medication logistics.
  • Navigate multiple computer applications simultaneously, ensuring speed, accuracy, and compliance with HIPAA regulations.
  • Document all interactions in the CRM system, updating case status, notes, and next‑step actions in real time.
  • Adapt quickly to new call types, scripts, or process changes, providing flexible support across the department.
  • Collaborate with internal teams—including pharmacy, logistics, and compliance—to resolve complex issues and prevent delays.

Work‑From‑Home Requirements

  • High‑speed broadband with a minimum of 25 Mbps download speed (wired Ethernet connection only; satellite, Wi‑Fi, or cellular hotspots are not permitted).
  • Dedicated, quiet, and secure workspace free from distractions.
  • USB‑wired headset with a noise‑cancelling microphone for crystal‑clear communication.
  • arenaflex will provide a company‑branded PC, mouse, keyboard, and any additional peripherals needed for a professional home office setup.

Essential Qualifications

  • Minimum age of 18 years and a high school diploma or GED equivalent.
  • Strong verbal and written communication skills, with a professional and courteous telephone etiquette.
  • Demonstrated ability to empathize with patients, understand their concerns, and provide clear, actionable solutions.
  • Basic computer literacy; comfort navigating multiple software platforms simultaneously.
  • Willingness to undergo a background check and drug screening as part of the hiring process.
  • Flexibility to work full‑time schedules, including occasional weekends, to meet business demands.

Preferred Qualifications & Experience

  • Familiarity with healthcare insurance terminology, prescription dispensing processes, or prior exposure to pharmacy benefit management (PBM) environments.
  • Experience in a customer‑service or call‑center setting, especially handling high‑volume inbound/outbound calls.
  • Knowledge of HIPAA regulations and best practices for protecting patient privacy.
  • Previous experience with specialty medication verification or working with rare disease patient populations.
  • Demonstrated ability to meet productivity metrics while maintaining high quality and compliance standards.

Core Skills & Competencies

  • Empathy & Active Listening: Ability to connect with patients on a personal level, understand their unique situations, and convey reassurance.
  • Problem‑Solving: Quickly identify obstacles, research solutions, and coordinate with multiple stakeholders to keep medication timelines on track.
  • Organizational Excellence: Manage a high volume of cases, prioritize tasks, and keep meticulous records.
  • Technical Agility: Rapidly learn new software tools, adapt to evolving processes, and maintain data accuracy.
  • Communication: Clear, concise, and professional articulation of complex information to both medical professionals and patients.
  • Team Collaboration: Work effectively with cross‑functional teams, sharing insights and supporting collective goals.
