Role Overview

The Part‑Time Data Entry Coordinator – Program Impact will join the Data & Evaluation team, reporting directly to the Managing Director of Design & Evaluation. This non‑exempt, remote position (with residency requirements in Chicago, Los Angeles, Miami, New York, or the Bay Area) offers 15‑20 hours per week at a competitive hourly rate of $25. The role runs from October 28 2024 through June 27 2025, with the possibility of extension based on performance and program needs.

In this role, you will be the guardian of data integrity for arenaflex’s alumni outcomes, ensuring that every employment update, salary figure, and employer record is accurate, timely, and ready for analysis. You will collaborate closely with Alumni, Partnerships, and Program Operations teams to maintain a single “source of truth” that powers our impact reporting and strategic decision‑making.

Key Responsibilities

Data Integrity and Quality Control (≈ 50 % of time)

  • Continuously monitor and audit data flowing from Brightspace LMS, Salesforce, LinkedIn Sales Navigator, and LiveAlumni to detect inconsistencies.
  • Generate, clean, and reconcile data extracts from Salesforce and other platforms, applying best‑practice data‑cleansing techniques.
  • Enter alumni employment outcomes with meticulous attention to detail, correcting discrepancies and filling gaps to achieve 100 % accuracy.
  • Validate the seamless transition of data from program‑stage records in Brightspace to alumni‑stage records in Salesforce, ensuring no loss of information.
  • Document data‑quality issues and propose systematic improvements to prevent future errors.

Data Collection and Reporting (≈ 30 % of time)

  • Administer national post‑program outcomes surveys via email, text, and phone, driving high response rates from recent graduates.
  • Produce monthly reports highlighting alumni who lack employment verification or salary data, and share these insights with Alumni Managers for follow‑up.
  • Maintain and regularly update the “employer” fields in Salesforce, guaranteeing that reporting dashboards reflect the most current information.
  • Support the creation of impact dashboards and executive‑level reports that showcase arenaflex’s success metrics.

Process Optimization and Collaboration (≈ 20 % of time)

  • Partner with Alumni, Program Operations, and Partnerships teams to streamline data‑collection workflows, reducing manual effort and turnaround time.
  • Participate in cross‑functional meetings to share data insights, identify bottlenecks, and recommend automation opportunities.
  • Provide training and guidance to internal stakeholders on proper data‑entry protocols and quality‑control standards.

Essential Qualifications

  • Minimum 1 year of hands‑on experience in data entry or data management, preferably using Microsoft Excel or Google Sheets combined with Salesforce.
  • Demonstrated ability to design and execute multi‑stakeholder processes while maintaining exceptional attention to detail.
  • Strong customer‑service orientation, with proven follow‑up and follow‑through skills.
  • Experience handling sensitive or confidential information with discretion and professionalism.
  • Proficiency in Salesforce (or comparable CRM) is highly preferred.

Preferred Qualifications & Additional Skills

  • Familiarity with learning‑management systems (e.g., Brightspace) and alumni‑tracking tools.
  • Basic knowledge of data‑visualization platforms such as Tableau, Power BI, or Looker.
  • Experience conducting surveys, managing response rates, and performing outreach via email or SMS.
  • Excellent written and verbal communication skills, including the ability to present findings to audiences of 100 + participants.
  • Problem‑solving mindset: ability to analyze complex data issues, propose actionable solutions, and implement improvements.
