The Customer Service Assistant is the heartbeat of our front‑office operations. Key Responsibilities & Duties

  • Maintain and update bills of materials (BOM) in the ERP system, ensuring accuracy for production planning.
  • Answer inbound calls from customers and vendors with professionalism, empathy, and timely resolution.
  • Execute month‑end processing tasks, including reconciliations, journal entries, and reporting.
  • Process credits and debits, verify transaction details, and resolve discrepancies.
  • Organize and keep vendor files current, including contact information, contracts, and performance records.
  • Manage financial record‑keeping: issue receipts, record payments, and support audit readiness.
  • Demonstrate excellent communication—showing patience and helpfulness when dealing with internal and external stakeholders.
  • Adhere to arenaflex’s safety policies and procedures, promoting a secure workplace.
  • Collaborate effectively with Production Supervisors and co‑workers to align operational priorities.

  • Perform administrative functions: electronic and physical filing, scanning, copying, and document organization.
  • Maintain and update miscellaneous spreadsheets that support office efficiency.
  • Enter receiving data into the ERP software, ensuring accurate inventory tracking.
  • Monitor office supply stock levels, reorder as needed, and keep the supply room orderly.
  • Provide cross‑departmental administrative assistance, stepping in wherever the need arises.
  • Undertake additional general duties as directed by management, contributing to continuous improvement initiatives.

  • Experience with SharePoint and Salesforce is a plus, demonstrating familiarity with cloud‑based collaboration tools.
