Why This Role Matters

The Data Entry/Operations Analyst position sits at the heart of arenaflex’s document‑processing pipeline. Each day, you will be the first line of defense in ensuring that fund‑related documents—ranging from investment statements to regulatory filings—are accurately captured, matched, and routed to the appropriate investor vehicles. Your meticulous work guarantees data integrity, supports compliance initiatives, and enables downstream teams to deliver timely insights to our clients. In short, you help keep the financial world running smoothly, one document at a time.

Key Responsibilities

  • Document Retrieval & Ingestion: Access fund‑related documents from a variety of sources, including secure email inboxes, web portals, and partner platforms.
  • Accurate Matching: Review each incoming document and correctly associate it with the corresponding investor vehicle, portfolio, or account using arenaflex’s proprietary matching tools.
  • Client‑Specific Protocols: Follow detailed client instructions to ensure that each document is processed in compliance with contractual and regulatory requirements.
  • Verification & Quality Assurance: Conduct multi‑step verification checks to confirm data accuracy, flag inconsistencies, and resolve discrepancies before final submission.
  • Communication & Collaboration: Liaise with fund managers, internal stakeholders, and external partners to clarify document details, request missing information, and provide status updates.
  • Performance Targets: Meet or exceed daily throughput goals for document processing, while maintaining a high standard of quality and accuracy.
  • Continuous Improvement: Identify bottlenecks, suggest workflow enhancements, and contribute to the evolution of arenaflex’s document‑processing framework.

Essential Qualifications

  • High school diploma or G.E.D. (required).
  • Demonstrated ability to maintain exceptional organization and attention to detail in fast‑paced environments.
  • Proficiency with Microsoft Office Suite—especially Word, Excel, and Outlook.
  • Strong written and verbal communication skills, enabling clear interaction with internal teams and external clients.
  • Comfortable navigating web‑based software applications and learning new platforms quickly.
  • Ability to sustain focus and productivity throughout an 8‑hour workday, even when tasks become repetitive.

Preferred Experience & Education

  • Associate’s or Bachelor’s degree in Business, Finance, Information Systems, or a related field (preferred but not mandatory).
  • Prior experience in data entry, operations support, administrative assistance, or similar roles.
  • Familiarity with financial services terminology, fund structures, or investment‑vehicle concepts.
  • Exposure to document‑management systems, CRM platforms, or workflow‑automation tools.

Core Skills & Competencies

  • Analytical Acumen: Ability to spot patterns, detect anomalies, and make logical connections between documents and investor accounts.
  • Time Management: Skillful at prioritizing tasks, meeting deadlines, and handling multiple document streams simultaneously.
  • Team Orientation: Collaborative mindset that values shared success and is eager to support teammates when workloads peak.
  • Adaptability: Flexibility to adjust to evolving client requirements, new software releases, and shifting operational priorities.
  • Integrity & Confidentiality: Commitment to safeguarding sensitive financial information and adhering to data‑privacy standards.
