Payroll Managers

American Restoration is seeking a highly organized, detail-oriented Payroll Manager to oversee and manage all payroll operations across a rapidly growing multi-state restoration organization. The Payroll Manager will be responsible for ensuring accurate and timely payroll processing, compliance with federal, state, and local regulations, payroll system administration, reporting, audits, and continuous process improvement. This position serves as a key partner between Human Resources, Finance, Operations, and external vendors to ensure payroll accuracy, compliance, and exceptional employee service while supporting the organization's growth strategy. Essential Duties & Responsibilities Payroll Administration

  • Manage the end-to-end payroll process for all employees across multiple states and operating companies.
  • Ensure accurate and timely processing of weekly, bi-weekly, and semi-monthly payrolls.
  • Review payroll batches, audits, and exception reports prior to final approval.
  • Maintain payroll records, earnings, deductions, garnishments, and tax withholdings.
  • Process bonus payments, commissions, retroactive pay adjustments, and final paychecks.
  • Ensure proper handling of prevailing wage, per diem, on-call pay, overtime, and incentive compensation programs.

Compliance & Risk Management

  • Ensure compliance with all federal, state, and local payroll laws and regulations.
  • Maintain compliance with wage and hour laws, including FLSA requirements.
  • Administer wage garnishments, tax levies, child support orders, and other payroll deductions.
  • Coordinate payroll tax filings and resolve tax notices.
  • Support internal and external audits related to payroll, workers' compensation, unemployment, and labor compliance.
  • Monitor payroll controls and identify potential risks or compliance concerns.

Payroll Systems & Reporting

  • Serve as the primary administrator for ADP Workforce Now and related payroll systems.
  • Manage payroll workflows, approvals, user access, and security settings.
  • Develop and maintain payroll reports, dashboards, and workforce analytics.
  • Reconcile payroll accounts and partner with Finance on month-end and year-end activities.
  • Support annual W-2 processing and year-end payroll activities.
  • Drive system enhancements, process improvements, and automation initiatives.

Employee Support

  • Respond to employee payroll inquiries professionally and timely.
  • Resolve payroll discrepancies and investigate payroll-related concerns.
  • Educate managers and employees on payroll policies and procedures.
  • Partner with Human Resources to ensure employee data changes are accurately reflected in payroll.

Leadership & Continuous Improvement

  • Establish and maintain payroll policies, procedures, and internal controls.
  • Identify opportunities to improve payroll accuracy, efficiency, and employee experience.
  • Train and mentor payroll staff as the organization grows.
  • Participate in acquisitions, integrations, and payroll transitions for newly acquired companies.

Qualifications

Required

  • Bachelor's Degree in Accounting, Finance, Human Resources, Business Administration, or related field.
  • 5+ years of payroll administration experience.
  • 3+ years managing multi-state payroll operations.
  • Experience processing payroll for organizations with 500+ employees.
  • Strong knowledge of federal and state wage and hour laws.
  • Experience with ADP Workforce Now or comparable enterprise payroll systems.
  • Advanced proficiency in Microsoft Excel.
  • Strong analytical, problem-solving, and organizational skills.
  • Ability to manage confidential information with the highest level of integrity.

Preferred

  • Certified Payroll Professional (CPP) designation.
  • Experience in restoration, construction, field services, or multi-location operations.
  • Experience supporting acquisitions and payroll integrations.
  • Knowledge of prevailing wage and union payroll environments.
  • Experience with HRIS and compensation systems.
