Why This Role Matters

In today’s fast‑moving financial landscape, accurate and timely processing of fund documents is critical to maintaining investor confidence and ensuring regulatory compliance. As a Data Entry/Operations Analyst at arenaflex, you will be the backbone of our document‑handling workflow, turning raw data into actionable insights for fund managers and investors alike. Your meticulous attention to detail will directly impact the integrity of our clients’ portfolios, helping them make informed decisions and maintain the highest standards of operational excellence.

Key Responsibilities

  • Access fund‑related documents from a variety of sources, including email inboxes, secure portals, and web‑based repositories.
  • Accurately match each incoming document to its corresponding investor vehicle or portfolio, following client‑specific naming conventions and classification rules.
  • Interpret and apply detailed client instructions to ensure proper handling, routing, and archival of documents.
  • Perform rigorous verification checks to confirm data accuracy, completeness, and compliance with internal quality standards.
  • Communicate promptly and professionally with fund managers, internal teammates, and external partners to resolve discrepancies or clarify requirements.
  • Maintain daily and weekly throughput targets, tracking performance metrics and reporting progress to your supervisor.
  • Identify opportunities for process improvement, suggesting automation or workflow enhancements that increase efficiency without compromising quality.
  • Document any exceptions, errors, or unusual cases in the designated tracking system to support audit trails and continuous improvement initiatives.

Essential Qualifications

  • Education: High school diploma or G.E.D. required; an Associate’s or Bachelor’s degree in any discipline is a strong plus.
  • Technical Proficiency: Demonstrated competence with Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
  • Organizational Skills: Exceptional ability to manage multiple document streams, prioritize tasks, and maintain meticulous records.
  • Attention to Detail: Proven track record of delivering error‑free data entry work in fast‑paced environments.
  • Communication: Clear, concise written and verbal communication skills for interacting with internal and external stakeholders.
  • Team Orientation: Ability to collaborate effectively within a remote, distributed team while also thriving in independent work settings.
  • Work Ethic: Demonstrated stamina to sustain high focus throughout an 8‑hour workday and meet daily output goals.

Preferred Experience & Skills

  • Previous experience in data entry, operations support, or administrative roles, especially within financial services.
  • Familiarity with fund documentation, investor reporting, or portfolio management concepts.
  • Exposure to workflow automation tools, document management systems, or basic scripting (e.g., VBA, PowerShell) is advantageous.
  • Understanding of regulatory requirements such as AML, KYC, or SEC filing standards, though not mandatory.
  • Experience working remotely with self‑discipline, reliable internet connectivity, and a dedicated home office setup.
