Position Overview

The Customer Service Representative / Order Processing Specialist plays a pivotal role in the seamless operation of arenaflex's order fulfillment and customer service functions. This position is responsible for receiving, verifying, and processing customer orders with precision, tracking order progress from initiation through delivery, and serving as a vital communication link between customers, the warehouse team, and the Operations Manager. The ideal candidate will demonstrate exceptional attention to detail, strong organizational capabilities, and a commitment to providing outstanding customer experiences at every touchpoint.

Reporting directly to the Operations Manager, this role operates under moderate supervision while requiring a high degree of independence, accuracy, and professional judgment. The specialist will utilize specialized accounting and tracking software to manage orders, maintain comprehensive records, and ensure that every customer interaction reflects the quality and reliability that arenaflex is known for throughout the commercial kitchen equipment industry.

Key Responsibilities

Order Management and Processing

  • Receive and verify incoming customer orders, ensuring product availability and adequate stock levels using arenaflex's proprietary accounting software systems.
  • Accurately input customer orders into the accounting platform, maintaining a meticulous standard of data integrity throughout the process.
  • Create sales orders and generate invoices with precision, ensuring all pricing, quantities, and customer details are correctly captured.
  • Monitor customer credit terms and payment statuses, proactively communicating any concerns or updates to relevant stakeholders.
  • Issue credit memos for returned products and maintain comprehensive, accurate records of all credit transactions.
  • Process freight claims efficiently for damaged units, coordinating with shipping partners and customers to resolve issues promptly.

Customer Communication and Support

  • Serve as the primary point of contact for customers via telephone and email, delivering professional, courteous, and timely responses to all inquiries.
  • Provide real-time inventory updates upon request, ensuring customers have accurate information for their purchasing decisions.
  • Communicate proactively with customers regarding order status, anticipated delivery dates, freight charges, and any changes to delivery schedules.
  • Offer freight quotations and generate Bill of Lading documents for outgoing shipments, providing customers with clear shipping documentation.
  • Receive and process purchase orders with efficiency, handling all related messages and correspondence promptly and professionally.
  • Address non-technical customer concerns and resolve routine issues independently, escalating complex matters to the Operations Manager when appropriate.

Inventory and Records Management

  • Establish and maintain a systematic, organized filing system for both physical inventory documentation and customer records.
  • Ensure all documents are properly electronically filed and securely stored in arenaflex's cloud-based storage systems.
  • Collaborate closely with the Operations Manager and warehouse personnel to maintain accurate, up-to-date inventory records.
  • Maintain comprehensive transaction-related data, including pricing histories, delivery dates, and inventory levels for reporting and analysis purposes.

Cross-Functional Collaboration

  • Partner with warehouse staff to coordinate order fulfillment, ensuring seamless communication regarding stock availability and shipping requirements.
  • Work collaboratively with other departments to identify and meet customer needs, contributing to a unified approach to customer satisfaction.
  • Contribute to the maintenance and updating of arenaflex's customer relationship database, ensuring data accuracy and usability for the broader team.
  • Support the Operations Manager with special projects, reporting, and initiatives that enhance overall operational efficiency.

Essential Qualifications and Requirements

Experience and Background

  • A minimum of two years of relevant professional experience in customer service, order processing, logistics, billing, or a closely related field.
  • Demonstrated experience working with accounting software, order management systems, or enterprise resource planning (ERP) platforms.
  • Prior experience in manufacturing, distribution, wholesale, or commercial equipment industries is highly desirable.

Technical Skills and Competencies

  • Proficiency in 10-key data entry at an intermediate to advanced level, with a demonstrated ability to maintain speed and accuracy.
  • Strong command of the Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Basic understanding of invoicing procedures, crediting processes, and general accounting principles.
  • Familiarity with cloud-based storage systems and electronic document management practices.
