What You’ll Do: Core Responsibilities

Customer Communication & Outreach

  • Place outbound customer contacts and conduct professional follow-up communications via phone and email to ensure customer satisfaction and issue resolution.
  • Respond promptly and accurately to basic customer inquiries, providing helpful information about arenaflex products, services, policies, and processes.
  • Serve as the initial point of contact for customers seeking assistance, demonstrating empathy, professionalism, and a solutions-oriented mindset in every interaction.

Data Management & Database Maintenance

  • Update and maintain comprehensive customer call databases, ensuring all information is current, accurate, and easily accessible.
  • Enhance and follow up on customer support logs, creating a clear audit trail of all customer interactions.
  • Maintain and update all customer profiles within arenaflex systems, ensuring data integrity across all platforms.
  • Create and update customer service issue tickets, tracking them through resolution and ensuring timely follow-up.

Administrative & Clerical Excellence

  • Provide robust management support including profile page creation, updating, and maintenance.
  • Handle filing, comprehensive data entry, and professional document production with meticulous attention to detail.
  • Assist in the preparation of all correspondence related to the customer support process, ensuring tone, accuracy, and branding consistency.
  • Manage special administrative projects and overflow work from various teams, including word-processing assignments, data entry tasks, and internet research initiatives.

Front Desk & Visitor Management

  • Manage arenaflex’s virtual lobby area, professionally greeting and directing all visitors, vendors, clients, job applicants, and customers.
  • Direct and seat visitors to their appropriate offices or conference rooms (in virtual settings, this includes managing digital meeting spaces and ensuring smooth transitions).
  • Alert staff members promptly of visitor arrivals and scheduled appointments, maintaining a welcoming and organized environment.

General Office Operations

  • Perform general office functions including filing, data entry, spreadsheet maintenance, report generation, mailings, and various clerical tasks.
