Position Overview – Remote Data Entry Specialist

arenaflex is seeking a meticulous, self‑motivated Remote Data Entry Specialist to join our dynamic operations team. This full‑time, work‑from‑home role is ideal for candidates who thrive on accuracy, enjoy solving data puzzles, and want to grow within a forward‑thinking logistics organization. You will be responsible for entering, validating, and maintaining critical data that powers our transportation management systems, warehouse operations, and customer portals. Your contributions will directly impact the reliability of our supply chain, ensuring that shipments, invoices, and inventory records are error‑free and up‑to‑date.

Key Responsibilities

  • Data Capture & Entry: Accurately input a high volume of transactional data—including shipment details, billing information, inventory counts, and customer contacts—into arenaflex’s proprietary and third‑party databases.
  • Data Validation & Reconciliation: Perform routine checks to compare source documents with system entries, identify discrepancies, and resolve them promptly to maintain data integrity.
  • Quality Assurance Audits: Conduct systematic data quality audits, generate error‑report summaries, and implement corrective actions in collaboration with supervisors.
  • System Support & Troubleshooting: Assist internal users with basic system queries, password resets, and data‑related issues via phone, chat, or remote desktop tools.
  • Documentation & Reporting: Prepare daily and weekly status reports that highlight entry volumes, error rates, and any outstanding data concerns.
  • Confidentiality Management: Safeguard sensitive information by adhering to arenaflex’s data protection policies, encryption standards, and confidentiality agreements.
  • Collaboration & Communication: Work closely with logistics coordinators, finance teams, and IT support to streamline data flows and improve overall process efficiency.
  • Continuous Improvement: Suggest enhancements to data entry workflows, templates, and validation rules to reduce manual effort and increase accuracy.
  • Equipment & Software Utilization: Operate standard office hardware (printers, scanners) and software tools (SPLUS, ETPS2, E2K, Microsoft Office Suite, and arenaflex’s custom data entry platform).
  • Travel Coordination (Occasional): Participate in brief on‑site visits at arenaflex locations in TXALG, with potential rotations to TXDFW or TXDAL, to support regional data initiatives.

Essential Qualifications

  • High school diploma or equivalent; additional certification in data entry, office administration, or a related field is a strong plus.
  • Minimum of 1‑2 years of experience in a data entry, clerical, or administrative role, preferably within a fast‑paced logistics or transportation environment.
  • Typing speed of at least 60 words per minute with a 98%+ accuracy rate.
  • Demonstrated ability to manage large data sets, maintain meticulous attention to detail, and spot inconsistencies quickly.
  • Strong organizational skills with the capacity to prioritize multiple tasks and meet strict deadlines.
  • Excellent written and verbal communication skills, enabling clear interaction with internal teams and external partners.
  • Proficiency with common data entry software, spreadsheets, and database interfaces; familiarity with SPLUS, ETPS2, or E2K is advantageous.
  • Self‑discipline to work independently in a remote setting while staying aligned with team objectives and performance metrics.
  • Reliable high‑speed internet connection, a dedicated workspace, and a willingness to adhere to arenaflex’s security protocols.

Preferred Qualifications & Additional Skills

  • Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related discipline.
  • Experience with data governance frameworks, GDPR, or other data privacy regulations.
  • Knowledge of logistics terminology (e.g., bill of lading, freight class, carrier codes) and supply chain processes.
  • Familiarity with cloud‑based collaboration tools such as Microsoft Teams, Slack, or Zoom.
  • Basic understanding of database query languages (SQL) or scripting for data extraction.
  • Previous exposure to remote work environments, demonstrating effective time management and virtual teamwork.

Core Competencies for Success

  • Analytical Mindset: Ability to dissect data, recognize patterns, and propose logical solutions.
  • Problem‑Solving: Proactive approach to identifying root causes of data errors and implementing fixes.
  • Customer‑Centric Attitude: Commitment to delivering accurate information that supports internal and external stakeholders.
  • Adaptability: Comfort with evolving processes, new software releases, and shifting priorities.
  • Integrity & Confidentiality: Strict adherence to data security standards and ethical handling of proprietary information.
