Position Overview

As a Customer Service Representative at arenaflex, you will serve as the vital link between our company and our valued network of sales representatives, distributors, and dealers. You will be the go-to problem solver who handles a diverse range of customer interactions, ensuring that every order is processed accurately, efficiently, and delivered on time. This hybrid position offers the best of both worlds: two days of remote flexibility and three days of collaborative, in-person teamwork at our Chicago office. You will be equipped with a dedicated personal workstation containing all the tools and technology needed to meet your daily metrics and deliver exceptional service consistently.

Key Responsibilities

  • Customer-Centric Order Management: Serve as the primary point of contact for sales representatives, distributors, and dealers, managing the full lifecycle of customer orders from entry through fulfillment, ensuring on-time and accurate delivery.
  • Issue Resolution: Handle a wide variety of customer interactions, both routine and complex, with professionalism, empathy, and a solutions-oriented mindset. You will address concerns, resolve disputes, and turn challenges into opportunities to strengthen customer relationships.
  • Standards of Excellence: Learn and uphold arenaflex's high standards for customer service quality, ensuring that every interaction reflects our commitment to excellence and reinforces our brand reputation.
  • SAP and CRM Proficiency: Utilize SAP or other CRM systems to input orders, track shipments, manage pricing inquiries, and retrieve customer, order, and product information as needed.
  • Cross-Functional Collaboration: Work closely with internal teams including sales, logistics, and operations to coordinate order processing, resolve fulfillment issues, and maintain seamless communication channels.
  • Excel-Based Reporting: Leverage strong Excel skills to maintain accurate records, generate reports, and analyze data to support continuous improvement in customer service operations.
  • Multi-Tasking with Urgency: Manage multiple priorities simultaneously while maintaining a sense of urgency and attention to detail, even in high-pressure situations.
  • B2B Account Support: Provide specialized support tailored to the unique needs of business-to-business clients, including handling pricing negotiations, contract terms, and account-specific requirements.

Essential Qualifications and Experience

  • Customer Service Background: 1–3 years of proven experience in a customer service or customer support role, preferably in a fast-paced, high-volume environment.
  • Excel Proficiency: Strong working knowledge of Microsoft Excel, including the ability to create, manage, and analyze spreadsheets, use formulas, and generate reports.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to convey information clearly, professionally, and with a customer-first approach.
  • Composure Under Pressure: Demonstrated ability to maintain grace, professionalism, and effective decision-making when faced with challenging or high-stress situations.

Preferred Qualifications

  • Experience with B2B customer support, particularly in industries such as manufacturing, distribution, paints and coatings, or related sectors.
  • Prior experience with SAP or other enterprise-level CRM platforms.
  • Background in supporting sales representatives, distributors, or dealer networks.
  • Familiarity with protective coatings, industrial products, or related technical fields.
