Position Overview – Remote Clinical Data Entry Specialist

arenaflex is seeking a detail‑oriented, self‑motivated Remote Clinical Data Entry Specialist to join our Centralized Services team. In this role, you will be the backbone of our pharmacy data ecosystem, ensuring that medication records, patient interactions, and compliance documentation are captured accurately and promptly. You will work closely with pharmacists, clinical teams, and payer partners to support initiatives that enhance medication adherence, improve clinical outcomes, and optimize pharmacy financial performance.

Key Responsibilities

  • Perform precise data entry of prescription information, patient profiles, and clinical documentation using arenaflex’s proprietary pharmacy management systems.
  • Execute patient‑centric programs such as medication therapy management (MTM), vaccination administration, and payer‑pharma adherence projects, ensuring all data points are captured in real time.
  • Conduct regular audits of medication records and patient charts to verify accuracy, compliance with FDA and state pharmacy regulations, and adherence to HIPAA privacy standards.
  • Collaborate with regional pharmacy teams to support quality‑improvement initiatives, process redesign, and continuous performance monitoring.
  • Identify and resolve data discrepancies, escalating critical issues to senior clinical staff when necessary.
  • Provide timely, empathetic communication to patients regarding prescription status, medication counseling, and follow‑up care, acting as a trusted liaison between patients and arenaflex pharmacy services.
  • Support pharmacy financial performance by entering and tracking data related to reimbursement, cost‑saving projects, and revenue‑enhancing initiatives.
  • Maintain up‑to‑date knowledge of pharmacy regulations, licensure requirements, and industry best practices to ensure compliance across all data handling activities.
  • Assist in the development and delivery of training materials for new hires and ongoing staff development, fostering a culture of continuous learning.
  • Participate in cross‑functional meetings, providing data‑driven insights that influence strategic decisions and operational improvements.

Essential Qualifications

  • Bachelor’s degree in Health Sciences, Business Administration, Information Management, or a related field.
  • Current pharmacy license (or eligibility to obtain one) issued by the appropriate state board.
  • Demonstrated experience handling confidential health information with strict adherence to HIPAA guidelines.
  • Proven ability to work independently in a remote environment, managing time effectively and meeting tight deadlines.
  • Strong analytical mindset with experience in reviewing, reconciling, and correcting data discrepancies.
  • Excellent written and verbal communication skills, with a talent for building rapport with patients and internal stakeholders.
  • Flexibility to work non‑standard hours, including evenings, weekends, and holidays as required by business needs.
  • Willingness to travel up to 10 % of the time for occasional on‑site meetings, training sessions, or regional events.

Preferred Qualifications & Skills

  • Experience in pharmacy operations, clinical data management, or health‑care customer service.
  • Familiarity with health‑care payer and pharmacy benefit manager (PBM) processes.
  • Proficiency with arenaflex’s electronic health record (EHR) and pharmacy management platforms (training will be provided).
  • Advanced knowledge of arenaflex (formerly Microsoft) Office Suite, including:
    • arenaflex Excel – creating formulas, pivot tables, data validation, and charting.
    • arenaflex PowerPoint – designing clear, professional presentations for internal stakeholders.
    • arenaflex Word – formatting documents, using track changes, and managing templates.
  • Experience developing and implementing process improvement initiatives using Lean, Six Sigma, or similar methodologies.
  • Ability to interpret and apply state and federal pharmacy regulations, including FDA and DEA guidelines.

Core Competencies for Success

  • Attention to Detail: Meticulous data entry and verification to prevent errors that could impact patient safety.
  • Customer‑Centric Mindset: Demonstrates empathy and professionalism when interacting with patients, pharmacists, and payers.
