As an Entry‑Level Guest Experience & Terminal Operations Coordinator, you will be the backbone of the embarkation process, ensuring that every guest’s journey begins smoothly and ends memorably. You will work closely with internal teams, external vendors, and port authorities to coordinate logistics, maintain data integrity, and uphold the high standards that define the arenaflex brand.

Key Responsibilities

  • Participate in the continuous improvement of the embarkation workflow, identifying bottlenecks and proposing actionable solutions.
  • Maintain and update critical data sets such as Port Arrival Times, Daily Operations Reports, and Quality Assurance Reviews.
  • Support the Terminal Operations Manager with medium‑level stakeholder and guest relations inquiries, ensuring timely resolution.
  • Assist in scheduling and documenting meetings, training sessions, and stakeholder briefings.
  • Lead communication with partner regions—both internal and external—providing updates on operational changes, policy revisions, and performance metrics.
  • Travel to arenaflex terminals in Port Canaveral, South Florida, and out‑ports to provide on‑site support and conduct quality audits.
  • Coordinate with out‑port teams on terminal and area release activities, ensuring seamless hand‑offs between departments.
  • Conduct Quality Assurance Reviews and schedule audits for terminal operations, documenting findings and recommending corrective actions.
  • Serve as the primary liaison between arenaflex and external vendor services, fostering positive relationships with customs, border protection, local police, stevedores, security, and other critical partners.
  • Develop and deliver training content for staff on business process improvements and operational execution plans.
  • Identify project‑related risks and issues, escalating them appropriately to ensure successful project delivery.
  • Maintain comprehensive documentation of terminal processes, including standard operating procedures, workflow diagrams, and guest embarkation checklists.

Essential Qualifications

  • Bachelor’s degree in Business Administration, Hospitality Management, Logistics, or a related field.
  • Strong knowledge of cruise‑line operations, terminal activities, and guest services.
  • Proficiency with Microsoft 365 suite (Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint).
  • Demonstrated ability to manage multiple priorities in a fast‑paced environment.
  • Excellent verbal and written communication skills, with a focus on professionalism and clarity.
  • Solid analytical, logical, and critical‑thinking abilities.
  • Experience in the travel or hospitality industry is preferred.
  • Willingness to work flexible hours, including weekends and holidays, as operational demands dictate.
  • Valid passport and ability to travel internationally for short‑term assignments.
  • Physical capability to lift up to 50 lb, push carts weighing over 500 lb, and operate warehouse equipment such as pallet jacks.

Preferred Qualifications

  • Three or more years of experience in cruise‑line dock operations or a comparable logistics role.
  • Familiarity with arenaflex Cruise Line systems, including DXP, Seaware, and Fidelio.
  • Experience with Microsoft Power Apps and Power Automate for workflow automation.
  • Knowledge of migration strategies for ports across the US, Schengen area, Canada, Australia, and New Zealand.
  • Previous exposure to stakeholder management with government agencies and external service providers.

Physical Demands & Work Environment

This role requires occasional travel to busy port terminals, where you will be exposed to outdoor weather conditions, noise, and the dynamic pace of cruise embarkation. You will spend time both in office settings and on the dock, handling paperwork, operating handheld devices, and occasionally moving equipment. Safety protocols are strictly enforced, and all necessary personal protective equipment (PPE) will be provided.

Work Schedule & Travel

Standard hours are 8 hours per day, Monday through Friday, with the expectation of occasional weekend and holiday coverage during peak seasons. Travel to out‑ports and partner locations is required up to 30 % of the time, with trips ranging from one‑day visits to week‑long assignments.
