Job Summary

We're seeking an experienced Virtual Assistant to join our team on a part-time basis (approximately 2 hours/day). As a Virtual Assistant, you'll be responsible for calling new leads instantly, following up with existing customers, and documenting all interactions. Responsibilities

As a Virtual Assistant at arenaflex, you'll be responsible for the following key tasks:

  • Instant Lead Calling: Call each new lead immediately when it comes in, within seconds/minutes of receiving the notification.
  • Customer Follow-Up: Follow up with customers twice per day at different, random times to increase contact chances and maximize conversions.
  • Lead Calling: During downtime, call through our existing leads list and reach as many people as possible to ensure maximum coverage.
  • Documentation: Document every call attempt, conversation, and customer response in our CRM or tracking system.
  • Note-Taking: Record any excuses, objections, or reasons customers give for delaying decisions.
  • Reporting: Report daily results and any trends noticed during calls to help us refine our strategies.

Requirements

To be successful in this role, you'll need to possess the following essential qualifications:

  • Availability: Must be consistently available during 9 AM – 7 PM CST (U.S.) to respond to new lead notifications and follow up with customers.
  • Instant Response: Able to respond instantly to new lead notifications to ensure timely follow-up.
  • English Speaking Skills: Clear English speaking skills with a professional phone presence to effectively communicate with customers.
  • Reliable Internet: Reliable internet connection and a quality headset to ensure seamless communication.
  • Attention to Detail: Strong attention to detail for accurate documentation and record-keeping.
  • Results-Focused Mindset: Persistent, results-focused mindset to drive conversions and achieve business goals.

Preferred Qualifications

While not essential, the following qualifications would be beneficial in this role:

  • Customer Service Experience: Previous experience in customer service or a related field to understand customer needs and preferences.
  • CRM Familiarity: Familiarity with CRM systems or tracking software to efficiently manage customer interactions.
  • Time Management: Strong time management skills to prioritize tasks and meet deadlines.
